  • Overview

    Epic Application team members are responsible for in-depth knowledge of the Epic System software and are the primary liaison between user community and the Epic application. They conduct regular day-to-day communications, review the software, and exhibit a deep understanding of the business operations and works with Epic, the Epic Application Team(s), Brookdale Operations, vendors and end users to tailor the application to the organizations’ requirements. The Epic Team Lead routinely preforms in-depth analysis of workflows, data collections, report details, and other technical issues associated with the use of the Epic software; prepare detailed requirements, specifications and provides technical expertise in identifying, evaluating and configuring systems and procedures that meet user requirements. He/she is responsible for the developing and documenting the internal procedures that will be used in conjunction with the Epic applications.


    Epic Application team members gain in-depth knowledge of the software by attending training at Epic and completing application certification, certified projects and examinations.




    • Create and document policies and procedures
    • Analysis of EPIC model content and negotiation of any user requested modifications
    • Modification of EPIC content as prescribed by project team
    • Populating databases for which they are the owner during the initial system build, with assistance from Epic staff
    • Working with users on the sharing of data, category lists, etc.
    • Understanding choices in application specifications
    • Collecting information regarding potential system enhancement needs
    • Preparing details of specifications as needed
    • Analyzing data conversion needs
    • Coordinating software updates and changes with users
    • Developing and documenting internal procedures
    • Prioritizing and implementing changes requested for the system
    • Thoroughly reviewing and testing each new release and communicating needed changes to Epic before users are permitted to access the new release
    • Responding to Epic’s technical questions
    • Analyzing new functionality in new releases to determine whether or how it should be used
    • Timely input of weekly time tracking and project tracking data
    • Maintain regular communication with BHMC department leaders and Epic support representatives
    • Work with Epic representatives and BHMC’s business community and end users to ensure the system meets the BHMC’s business needs
    • Understand the choices involved in application configuration
    • Perform in-depth analysis of workflows, data collection, report details, and other technical issues associated with Epic software
    • Investigate end users’ preference while making build and optimization decisions
    • Analyze business operations as they relate to build and optimization decisions
    • Manage clinical build used by nurses and ancillary clinicians who make up the majority of hospital staff.
    • Focus on the tools to help clinicians stay organized and on top of all they need to do for patients.
    • Configuring Flowsheets for standard documentation and assessments (using flowsheet cascades, formulas, and required documentation.)
    • Designing and coordinating the integration needed when administering intravenous medications for patients.
    • Managing the coordination between heavily used tools to create a seamless workflow between such activities as Care Plans/Patient Education and Worklist/MAR.
    • Prioritize and implement requested changes to the system
    • Populate databases during the initial system build with assistance from Epic
    • Review software
    • Ensure that data coming across an interface into an Epic application meets the business need
    • Develop and document project team procedures for implementing system changes and other tasks



    College Degree required; focus on healthcare, business, IT, or computer science preferred.  



    • Minimum 5+ years ClinDoc build experience
    • EpicCare Inpatient Clinical Documentation Certified 


    Knowledge and Skills:

    A deep understanding of hospital organization and the user community in the application coordinator’s assigned area.
    The ability to lead meetings, prioritize, resolves conflicts, maintain issues lists, and manage a project plan.
    Strong communication and follow-up skills.
    Possess a combination of strong technical, analytical, and customer service skills.
    The ability to probe for information about the underlying needs of the organization and user community, which directly influences how the system will be built and maintained.
    Ability to fully utilize BHMC's electronic record systems, equipment and other healthcare and billing systems relevant to this position.


    Licenses, Certifications:

    Epic Application Analyst, or in process of obtaining certifcation 


    Physical Requirements:

    Position requires prolonged periods of standing, reaching, sitting, walking throughout the working day.  Position will be required to stoops, bends, lifts, carry items weighing up to 25 pounds.
