  • Overview

    Supports and is responsible for the daily administrative operations for a division or program.  Coordinate administrative functions within assigned department or areas.  Supervises all non-clinical personnel, maintains accurate and current files on all department budgets, capital equipment requests and programs related to operational issues.  Support revenue cycle functions, Quality and Service Excellence initiatives


    • Supervise the clerical staff in the department to include assisting in the hiring, training, discipline and performance management processes.
    • Coordinate projects such as space allocation, procurement, data planning, scheduling and budget tracking and bill payment. Assist in the preparation and monitoring of annual budgets.
    • Perform a variety of clerical and administrative activities in the department that are complex, require confidentiality and diplomacy to address.
    • Prepare report and document for area assigned and present and review findings with senior manager for department.
    • Oversee scheduling (vacation, holidays) and ensures adequate coverage at all times. Performs related personnel functions and time keeping responsibilities.
    • Answer questions that might arise when dealing with patients, physicians, customers or employees or any matters regarding the department/division/function.
    • Assist in maintaining current library of policies and procedures. 
    • Maintains and updates division manuals, as necessary
    • Maintain confidential files.
    • Oversee the review of inventory items, supplies and submit orders to replenish supplies.
    • Performs other related duties, as required.





    • High school diploma or equivalency required.  Bachelor’s degree preferred.
    • Secretarial School graduate and degree may substitute for experience. 


    • Minimum of three years secretarial and/or clerical experience, preferably in Health Care or Hospital.

    Knowledge and Skills:

    • Ability to fully utilize BHMC’s electronic record systems, equipment and other healthcare and billing systems relevant to this position.
    • Computer literacy and knowledge of Microsoft Office modules required.
    • Good math and project management skills.
    • Some prior supervisory experience preferred. 
    • Experience managing budgets, bill payment and record keeping preferred.



    Physical Requirements:

    • Position requires prolonged periods of standing, reaching, walking throughout the working day.
